More and more documents are electronically transmitted instead of in paper form. It can be quite an inconvenience if you have something in hard copy and need to send it to someone through email or an instant message. Your iPhone can solve this problem by allowing you to scan documents so you can edit, send, and store them for as long as you like without the risk of losing or damaging it.
Update Your iPhone
Scanning documents on your iPhone using the recent Notes app was just introduced in iOS 11. To ensure that your iPhone is capable of performing the task, tap on “Settings” and navigate to the “General” option. Tap “About” and you’ll see a number to the right of the version. As long as the first numbers are 11, you have the right operating system for the job.
How to Scan Documents With Your iPhone:
Tap on the “Notes” app in your list of available applications.
Look in the bottom right-hand corner and create a new note by tapping the icon with a pencil in a box.
Locate the “Plus” symbol. It is typically located in the middle of the keyboard. From here, you’ll have the choice to “Scan Documents.”
Lie your document on a flat surface such as a table or desk so you are able to fully capture it with your camera.
Hold your iPhone in a position that allows you to view the document in its entirety. Use the yellow box outlining the screen to assist you with lining up your paper.
Tap on the circular button located at the bottom of your screen and drag the corners of the on-screen frame until they capture the whole document without cutting out any parts.
Evaluate the quality and tap “Keep Scan” if it looks good, or choose “Retake” if you need to try again to correct something or get a sharper view of the text or images.
Look to the lower right side of the screen on your iPhone and tap on “Save” to keep your scanned document.
Converting Scan to a PDF File
A PDF is a file format that holds text in the form of electronic images and is a standard across the Internet. They can be printed, edited, and some even have form features to allow you to complete a form electronically and print it out pre-filled.
Export the new scan to a PDF file by first opening the saved note file with the document. Locate the “Share” button, indicated by a square with an arrow pointing upward, and select “Markup as PDF.” If you need to make electronic revisions, such as signing or initially the form, tap on the marker in the top right-hand corner of the screen and make the necessary changes. Both an Apple pencil and your finger are suitable for using the marker tool.
Saving the Document
After everything is finished and you’re ready to save the file, tap on “Done” and select “Save the file to…” to choose your save location. You can either save it on your phone or on your iCloud Drive.
